2. The personal data we collect

We only collect the data we need to respond to enquiries and provide our services.

Data	When & why
Name, work email, restaurant/business name, number of locations, services of interest, and any message you send	When you complete the contact / “book your spot” form, so we can respond and assess fit.
Email address and correspondence	When you email us directly.
Technical data (IP address, browser type, pages viewed)	Collected automatically by our hosting provider for security and to keep the site running. We do not currently use any analytics or tracking tools.

We do not knowingly collect special category data (such as health or ethnicity) and do not collect data from anyone we know to be under 18.

3. How we use your data and our lawful basis

To respond to your enquiry and provide our services — lawful basis: legitimate interests (responding to a business that has contacted us) and, where we go on to work together, performance of a contract.
To keep the website secure and functioning — lawful basis: legitimate interests.
To meet legal obligations (e.g. accounting) — lawful basis: legal obligation.

4. Who we share it with

We never sell your data. We share it only with trusted service providers (“processors”) who help us run the business, under contracts that require them to protect it:

Netlify — website hosting and form submissions.
Google Workspace — email and productivity, for receiving and storing correspondence.

We may also disclose data where required by law.

5. International transfers

Some of our providers (for example Netlify) are based outside the UK/EEA. Where data is transferred internationally, we rely on appropriate safeguards such as the UK International Data Transfer Agreement, the EU Standard Contractual Clauses, or an adequacy decision.

6. How long we keep it

We keep enquiry data only as long as needed to respond and, where relevant, for the duration of our working relationship plus a reasonable period afterwards for legal and accounting purposes. Enquiries that do not lead to a working relationship are deleted after 24 months of no engagement.

7. Your rights

Under UK/EU data protection law you have the right to: access your data; have it corrected or erased; restrict or object to processing; data portability; and to withdraw consent where we rely on it. To exercise any right, email accounts@pacehospitality.co.uk.

You also have the right to complain to the UK regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or 0303 123 1113. We’d appreciate the chance to address your concerns first.
